Memo: Time & Attendance

Reason for Memorandum:

This is to remind all staff that you MUST complete the attendance register and/or clock on the clock machine when you report for duty, go to tea/lunch, and when leaving the office.


Please take note of the following:

  1. Make sure that you know WHERE the clock machine is at the premises you report for duty.

  2. If you can’t clock, please inform your supervisor IMMEDIATELY.

  3. If you forgot to clock in, inform your supervisor IMMEDIATELY.

  4. Handwritten Attendance REGISTERS (only allowed where clocking devices are not installed)

    1. Must be completed DAILY. Do not leave it until the end of the month and then complete it.

    2. There must be a start and stop time for reporting for duty or going home AND for both lunch and tea times. Ensure that it is completed in full.

    3. Supervisors cannot complete registers on behalf of employees!

    4. Supervisors must confirm the time worked and SIGN IT OFF – meaning you then DECLARE that the employee was on your office premises for that specific time and that he indeed did do the work issued to him.

  5. If you do not clock and there is no leave form, it will be deducted from your salary as unauthorized absenteeism. (No work no pay)

  6. Supervisors MUST report staff who do not report for duty according to company rules.

  7. Regular late reported hours will also be deducted from wages at the end of each month.

These steps are implemented with immediate effect. Any problems regarding clocking and attendance must be reported to the Payroll office immediately. Excuses of fingerprints not working or machines not working etc, won’t be excepted if there is NO PROOF that the problem was reported.
