17 April 2025
This communication serves as both a reminder and a clarification of the Monthly Saturday Off benefit introduced on 1 November 2023 (MO25/23) for qualifying office administration staff.
This initiative reflects our ongoing commitment to enhancing work-life balance and supporting employee well-being.
To ensure fair, consistent, and effective application of this policy across all branches, please take note of the following updated guidelines and expectations:
1. Monthly Entitlement – Use It or Forfeit It Eligible employees are entitled to one Saturday off per calendar month. This leave is non-cumulative and must be taken within the same calendar month. Any unused Monthly Saturday Off will be forfeited and cannot be carried forward. Employees are not permitted to take two Saturdays off in one month under any circumstances.
2. Fair and Transparent Rotation
Branch Managers must implement a fair rotation system, allowing all office admin staff equal opportunity to benefit from this provision, while maintaining adequate operational coverage.
3. Month-End Saturdays Are Exempt
Due to the increased workload during month-end, all office admin staff are required to work on month-end Saturdays. No Monthly Saturday Off may be scheduled on these weekends.
4. Managerial Responsibility
Branch Managers are responsible for ensuring that staffing levels remain sufficient on all Saturdays, accounting for both the Saturday Off schedule and any other planned or unplanned absences.
5. Interaction with Regular Leave
If an employee’s approved leave overlaps with their designated Saturday Off, the day will still be considered part of their standard leave and not as an additional day off.
6. Leave Application Process
All employees wishing to take their Monthly Saturday Off must submit a leave application form at least one week in advance. The form should clearly indicate the option “Saturday Off” with the reason noted as “Monthly Saturday Off.” Failure to follow this process will result in the absence being recorded as unauthorized leave.
7. Operational Flexibility
Should this arrangement begin to negatively impact branch operations, management reserves the right to amend or suspend the Monthly Saturday Off benefit in the interest of business continuity.
We believe this initiative continues to support a positive and balanced work environment. At the same time, we rely on your support to ensure its smooth implementation without compromising operational efficiency. Your cooperation in adhering to these guidelines is sincerely appreciated. Should you have any questions or require clarification, please do not hesitate to contact the HR Department.
Your understanding and cooperation are greatly appreciated.
Sincerely,
Stienie Labuschagne
