Time Off for Working on Public Holidays

This memorandum is being issued to inform permanent employees of the proper procedure and rules regarding time off for working on a public holiday.

When an employee has to work on a public holiday, the following procedure must be followed:

1. Names of employees who are working must be written on the public holiday sheet as sent out by the HR department after being agreed upon by the Branch or Area Manager. These lists must be sent to both HR and Payroll departments. 2. Employees must ensure that they clock in and out correctly when working on the public holiday as this will be checked before any time off is approved. For drivers doing funerals, signing the funeral file is also acceptable where a clock machine is not accessible. 3. Normal leave application procedures must be followed. When applying for leave, the employee must choose “Other leave” and complete the reason for leave with the date on which they worked, for instance: “Worked on 24 September, public holiday” 4. After time off is approved by the relevant manager or supervisor, it will be reviewed and approved by the Payroll department. 5. Time must be taken off within one month of the public holiday, otherwise it will be forfeited.
