SOP : Vehicle Branding and Signage

The purpose of this SOP is to outline the step-by-step process for the procurement, branding, and installation of signage on new vehicles within the Wisani &NLA fleet. This includes obtaining management and financial approvals, informing relevant departments, creating job cards, and coordinating design, printing, and installation processes. The SOP ensures clear communication, accountability, and consistency in vehicle branding and signage to maintain corporate identity and operational efficiency.
1. PURCHASE OF NEW VEHICLES
● The Fleet Manager obtains quotes from various vehicle suppliers.
● The Fleet Manager sends the quotes to Management for approval.
● The Fleet Manager sends the approved quote to finance for payment.
● The Fleet Administrators need to create a job card and inform the Media Supervisor of the purchase.
2. CREATING A JOB CARD AND INFORMING THE MEDIA SUPERVISOR
● For the purchase of new vehicles the Media Supervisor needs to be informed within 48 hours of the purchase.
2.1. FOR THE BRANDING OF NEW AND EXISTING VEHICLES
● Create a Media Request Jotform and fill out all the questions.
● The following information must be provided:
- Number of vehicles
- Colour of vehicles
- Model & Make of vehicles
- Branding requirement (Wisani or NLA branding)
- Specifications in size of vehicles
- Date for when the Demo will be available for the Media Department to ensure measurements of the vehicles are accurate (Only applicable if this is a new facelift or the same vehicles are not currently present in our fleet.)
2.2. FOR THE BRANDING OF NEW AND EXISTING SIGNAGE
● Create a Media Request Jotform and fill out all the questions.
3. VEHICLE AND SIGNAGE DESIGN AND PRINT PREPARATION
● For new vehicles and Signage, The Signage Technician will design and fit 3 design variations.
● The 3 design variations will be sent to the Media Supervisor for committee approval.
● The approval committee will choose a suitable design and inform the Media Supervisor of any changes that need to be made.
● The Media Supervisor will make the necessary changes to the chosen design.
● The amended design will be sent back to the committee for final approval.
● The Media Supervisor will send the final design to the Signage Technician to start the printing process once the committee signs off on the final design draft.
4. PRINT
● For branding Vehicles and Signage, the Signage Technician will receive the printing instruction from the Media Supervisor.
● The Signage Technician will ensure sizing and alignment of the designs are in order before printing.
● Once the alterations have been made the Signage Technician will print the Vehicle Branding or Signage.
● The Signage Technician will inform the Media Supervisor once the prints are done and
ready for installation.
5. INSTALLATION OF VEHICLE BRANDING OR SIGNAGE
● For new vehicles and Signage, The Media Supervisor will schedule installation with applicable parties according to time and priority and distance.
● The Signage Technician will do the installation on the selected date and time as given through from the Media Supervisor.
● Once the Installation is done, the Signage Technician will take a photo of the finalised project.
● The Photo will be uploaded to the created jobcard/jotform and the jobcard/jotform will then be closed as complete.
