Introduction
Wisani Burial Society Group are committed to providing a safe and healthy workplace and to promoting the health and well-being of its employees. As such, the following policy has been adopted and applies to all employees of the Company.
Definition
It is the policy of the Company to prohibit smoking and vaping on all company premises to provide a safe and healthy work environment for all employees. Smoking is defined as the "act of lighting, smoking or carrying a lighted or smouldering cigar, cigarette or pipe of any kind." Vaping refers to the use of electronic nicotine delivery systems or electronic smoking devices such as e-cigarettes, e-pipes, e-hookahs and e-cigars.
Scope
This policy applies to:
All areas of buildings occupied by company employees.
All company-sponsored offsite conferences and meetings.
All vehicles owned or leased by the company.
All company employees.
All visitors (customers and vendors) to company premises.
All contractors and consultants and/or their employees working on company premises.
All temporary employees.
All student interns.
Customers
Smoking and vaping are permitted only in designated outdoor areas which will be demarcated
Designated smoking areas
4.1. Smoking is only permitted in designated smoking areas, identified by “Smoking Area” signs. Smoking whilst next to open windows is not allowed if the open window is not in a designated smoking area. Smoking is also not permitted within a radius of at least 5 meters from any building.
4.2 Identification of designated smoking areas is determined by management in consultation with the health and safety committee members The designated smoking area will be indicated by appropriate signage that complies with the specifications.
4.3 Requirements for designated smoking areas (not limited to the following requirements):
4.3.1 Designated smoking areas may not be required for any other work-related or rooms, or other common areas.
4.3.2 Designated smoking areas may not influence the image of the Company’s adversely from a public relations point of view.
4.3.3 Designated smoking areas may not infringe on any areas used by non-smokers.
4.3.4 Designated smoking areas must meet the requirements of all relevant legislation.
4.3.5 Designated smoking areas must particularly not be within a prescribed distance of windows or entrance, as prescribed and amended from time to time.
4.3.6 All offices and work areas, whether occupied by one person or shared by two or more, shall constitute work areas where smoking is prohibited.
Smoke breaks
5.1 No specific periods are identified for smoking breaks, and employees who wish to smoke are encouraged to limit their smoking to approved break periods (tea- or lunch breaks), as well as taking due cognisance of the rights of other employees who may continue to work, while smokers enjoy a break from work while smoking.
5.2 Employees are required to ensure that their work performance is not adversely affected by smoke breaks during work hours. Managers of such non-performing staff are responsible for addressing the non-performance, initially informally, with the employee, and through performance management processes, and if these efforts are not successful and the matter is not remedied informally, to advance the matter to formal processes.
Procedures
Employees who violate this policy will be subject to disciplinary action up to and including possible discharge.
A process is in place for resolving complaints about the smoke- and vape-free policy:
Complaints about the application of this policy should be brought to the attention of the Human Resources Manager or the Area Managers for resolution.
The complaint should be submitted in writing and should identify specific objections.
the Company will investigate the complaint and resolve it in accordance with the policy.
No employee shall suffer any form of retaliation for raising a complaint or asking a question about this policy.
This policy is intended to comply with the requirements of the Tobacco Products Control Act 83 of 1993 as amended from time to time.
