Memo : Timely Renewal of Drivers Licenses

Reason for Memorandum:

Due to ongoing issues of drivers neglecting timely renewal of their driving licenses

causing drivers using company vehicles with expired/illegal licenses, the following

rules are implemented with immediate effect:


1. Driver’s License Renewal:

1. Renewal of licenses is a personal responsibility. Employees must schedule

and arrange for a day's leave in advance for license renewal; this cannot be

done during work hours.

2. Avoid waiting until the month of license expiration to apply for a new one.

3. Ensure timely renewal of your driver’s licenses (old Code 8) to prevent

expiration while waiting for the new license.

4. Having a valid driver’s license forms part of the job, and therefore drivers are

responsible for renewing their licenses on time. Ensure you budget for the

amount needed for the renewal. No personal loans will be granted for this

purpose.


2. PDP License Renewal Procedures:

1. This is relevant only to employees who were approved and/or appointed to

have PDP licenses

2. Employees must ensure timely renewal of their PDP licenses.

3. Do not wait until PDP expiration or close to it; the renewal process takes

longer than normal licenses.

4. Notify your manager/supervisor at least TWO months in advance of your PDP

renewal.

5. A fixed amount will be paid by the company to cover the costs for PDP

renewal and will not be deducted from your salary. This amount will be

reviewed from time to time.

6. This is ONLY applicable for drivers who must have a PDP to perform their

duties and it can only be approved by Mr Mark Webb or Mr Roy Ngobeni.

7. Submit all proof of renewal and receipts to abovementioned people.

8. Provide a copy of the new license card to HR for record-keeping

9. Ensure that the new licence card get scanned into the Autobid system

immediately.

10. If a driver is terminated within the first 12 months of PDP renewal, the renewal

cost will be deducted from the last payment.


3. Autobid

1.All drivers must have their licenses scanned into the Autobid System.

2. Please ensure that you find out from your supervisor, office, or HR office if you are registered on this system.

3. When you get a new license, ensure to take it immediately to the relevant people who can scan it into the Autobid system.

4. When your name is NOT on the Autobid system, you cannot use company vehicles and it will be handled as if you have an expired license


Any driver whose license has expired will not be allowed to drive a company vehicle. For that reason, the employee will be put on UNPAID suspension until we have a valid license on record. This will be implemented from 1 April 2024.


Please note that ALL driver’s licenses will be check from 2 February 2024 to ensure validity and drivers with expired licenses will not be allowed to drive until a temporary license is handed in.
