Memo : Enforcing of Smoking Policy

Reason for Memorandum:
We would like to reiterate the importance of our company's smoking policy and inform all
employees that the company sees this issue in a very serious light.
As communicated on numerous occasions in the past, it is imperative that all employees
adhere to the following guidelines:
1. Limited Smoking Times: Smoking is only permitted during designated break times,
specifically during lunch and tea breaks.
2. Clocking Out for Smoke Breaks: Employees must clock out when taking smoke
breaks. This ensures that smoking breaks are taken within the allocated break times
and do not impact overall work productivity.
3. Designated Smoking Areas: Smoking is allowed only in designated smoking areas.
These areas have been designated to minimize the impact of second-hand smoke on
non-smokers and to maintain a clean and professional workspace.
In addition to the company's policy, we would like to highlight the Occupational
Health and Safety (OHS) concerns associated with smoking. This specifically in
production areas which has the potential danger of fires and/or explosions.
4. Prohibition in Office and Company Buildings and Company Vehicles: Smoking
is strictly prohibited inside any office or company building, including but not limited to
workspaces, conference rooms. vehicles, and common areas. This policy extends to
both traditional cigarettes and electronic smoking devices.
Furthermore, it is essential to recognize that violations of the smoking policy will result in
disciplinary action. Disciplinary steps may include written warnings, and, in severe cases,
termination of employment.
