Correct Payment Reference for Bank Deposits

1. INTRODUCTION

We are still receiving bank deposits without the correct payment references. This delays the allocation of funds to burial invoices and creates an unnecessary backlog.

The purpose of this memo is to remind all staff of the correct procedure when providing clients with payment references and bank account details, to ensure that all deposits can be allocated quickly and accurately.


2. PROCEDURES FOR CORRECT USE OF PAYMENT REFERENCES

To prevent delays and backlogs, please ensure the following:

  1. Provide correct details upfront

• Every client must be given the correct payment reference and bank account details before making any deposit.

• Ask the client to repeat and/or verify the reference and account details to confirm that they are correct.

  1. Example of correct reference:

● Body Code (W123456) or (N123478)

● Tombstone order number (T123456) or (L000214)


Please ensure that these procedures are clearly communicated to all staff members involved in processing or handling client payments and bank deposits.
