Company Vehicle Camera Policy

1. Purpose of the Policy This policy sets out the Company's position regarding the use of cameras installed in company vehicles. The purpose of installing these cameras includes, but is not limited to, the following: I. Enhancing driver and passenger safety II. Ensuring disciplinary control and accountability III. Improving security of personnel, assets, and vehicles IV. Assisting in incident investigations (e.g. accidents, misconduct, theft, road violations) V. Supporting driver training and performance improvement VI. Promoting compliance with road and traffic laws VII. Aiding in insurance claims and dispute resolution 2. Scope This policy applies to all employees, contractors, or individuals who operate or are passengers in vehicles owned, leased, or controlled by the Company. 3. Nature of the Cameras The cameras installed in vehicles may include both inward- and outward-facing units capable of recording video and/or audio. The recordings may be continuous or triggered by events such as sudden braking, speeding, or collisions. 4. Use of Footage The footage recorded by the cameras remains the property of the Company and may be accessed, reviewed, and used in the following circumstances: I. Investigation of incidents involving company vehicles II. Disciplinary hearings relating to employee conduct III. Insurance or legal claims IV. Law enforcement requests V. Internal audits and risk assessments VI. Footage may also be used as evidence in accordance with the Company’s disciplinary code and relevant South African labour laws. 5. Privacy Considerations The Company recognises the importance of privacy and will ensure that camera usage is proportionate and justifiable. Recordings will only be accessed by authorised personnel and retained in accordance with data protection requirements and for a reasonable period necessary for the purposes above. 6. Tampering or Interference Any interference, obstruction, covering, disconnection, damage, or tampering with the cameras or their recordings is strictly prohibited. This includes: I. Attempting to disable or remove the camera II. Obstructing the camera's view III. Deleting or editing footage IV. Any other manipulation or misuse Such conduct will be treated as serious misconduct, which may result in disciplinary action up to and including dismissal, subject to the Company’s Disciplinary Code and the Labour Relations Act.
7. Consent and Acknowledgement By operating or travelling in a company vehicle, individuals acknowledge the presence of the cameras and consent to the Company using the footage for the stated purposes. 8. Policy Review This policy may be reviewed and amended from time to time. All changes will be communicated appropriately.
