Appropriate Use of Office Printers

Dear Team, We would like to address a growing concern regarding the misuse of our office printers, particularly the Olivetti d-Copia MF4024s models. Over the past few weeks, we have observed a noticeable increase in printer maintenance requests related to premature fuser unit failures. Upon inspection, we found that some of these failures were due to normal wear and tear, which is expected over time. However, a significant number of the breakdowns were caused by foreign objects such as paperclips, sticky notes, tape, staples, or plastic tabs being fed into the printer or scanner, either attached to documents or loose inside the paper tray.
OVERVIEW Understanding the Impact: ● A fuser unit is a critical component of a laser printer that fuses toner to paper using heat and pressure. ● When foreign objects pass through the paper path, they can damage the fuser roller, causing paper jams, poor print quality, and in many cases, rendering the entire unit unusable. ● Each fuser unit costs over R4,000 to replace and can take several days to procure and install, which disrupts operations and increases maintenance costs unnecessarily. Preventive Actions: To help prevent further damage, we kindly ask everyone to: ● Remove all paperclips, staples, sticky notes, or tabs from documents before placing them in the printer or scanner. ● Avoid using folded, torn, or wrinkled paper in trays or ADFs (Automatic Document Feeders). ● Report any foreign objects found in printer trays immediately to the IT Department. Reminder: Treat all shared equipment with care. Small actions can help extend the life of our hardware and avoid unnecessary expenses and delays. Thank you for your cooperation.
